Hotel Accommodations

Rooms have been reserved at approximately 30 hotels in Denver for Renal Week 2010. Hotel reservations should be completed online at www.asn-online.org/renalweek/. A complete list of hotels, plus descriptions, rates, and area maps may also be found on this website.

Completed forms may be submitted via mail to:

ASN Housing Bureau
381 Park Avenue South
New York, NY 10016

Or via fax to the following:
212-532-1556

The housing reservation deadline is Friday, October 15, 2010.

All active, current reservations will be charged a non-refundable booking fee of $40 on Tuesday, September 14, 2010. Any reservations made after Tuesday, September 14, 2010 will be charged the $40 non-refundable booking fee at the time of reservation.

Suite Reservations

If you are interested in obtaining a suite in Denver, please contact the ASN office at 202-367-1146 for a suite reservation form. Requests for suites must be received no later than Tuesday, September 14, 2010.

Hotel Confirmation

In order to receive a housing reservation confirmation, the ASN Housing Bureau must receive your reservation request no later than Friday, October 15, 2010. You will receive an acknowledgement from the ASN Housing Bureau either by fax, email, or mail within 10 days. This acknowledgment will indicate the hotel where your reservation has been made. Additionally, the ASN Housing Bureau will provide you with a reminder confirmation approximately 10 days prior to arrival that will include your actual hotel confirmation number.

All changes and cancellations must be made through the ASN Housing Bureau. Please contact them by phone at 800-221-3531 from the United States and Canada or at 212-532-1660 from outside the US; by fax at 212-532-1556 or you may email asn@tphousing.com. You may also call the ASN Housing Bureau with any questions at the numbers listed above.

Please check your assigned hotel for specific check-in times. Additionally, please note that hotel cancellation policies vary. Be certain you know the cancellation policy for the hotel you have been assigned.

To ensure that you obtain a room during your stay in Denver, we strongly urge you to do the following:

  • Reserve early. For individual attendees, non-refundable booking fees do not
  • take affect until Tuesday, September 14, 2010, giving you time to finalize your travel plans or cancel in the event you are unable to attend Renal Week.
  • Please Note: Room cancellation policies vary by hotel. Please contact your
  • assigned hotel for policies specific to their property. Also, keep in mind the proximity of the hotel to the convention center. The hotels closest to the center will sell out quickly.
  • Do not duplicate your reservation. This removes rooms from inventory that
  • would have been available for your colleagues, and these rooms often cannot be returned to the ASN room block after they are cancelled.
  • Consider sharing a room with a colleague.

Exhibitor Housing

Exhibitors will have access to individual sleeping rooms at convention rates during ASN Renal Week. Hotel reservation forms will be available along with the Preliminary Program on the ASN website once a booth has been assigned. All reservations require a $400 non-refundable deposit at the time of the reservation. The hotel reservation form includes a section for the credit card number. Use of a credit card for the deposit payment will facilitate the reservation process. All individual reservation requests should be sent directly to the ASN Housing Bureau before Friday, October 1, 2010. Reservations are processed on a first-come, first-served basis. Please keep in mind that hotels close to the convention center will sell out quickly.

Exhibitor Group Housing Blocks

Group room blocks (10 rooms or more) must be approved by ASN and submitted no later than Friday, October 1, 2010. Requests must be sent to the ASN Housing Bureau through the Exhibitor Group Online Request Form. This form can be found on the ASN website at www.asn-online.org/renalweek/. Placement of group room blocks will be determined by the following factors:

  • Date of submission of the housing request
  • Availability

Contact the ASN Housing Coordinator at 202-367-1146 for additional instructions.

International Group Housing Blocks

All International Group Housing Blocks (defined as 15 rooms or more) must be requested through the International Group Housing website at www.asn-igd.com. Please read the rules and regulations identified on the International Group Housing website. Questions and inquiries may be directed to the International Group Housing department at 305-865-4648 x118. Special housing blocks have been created for international attendees using the services of a tour agent and traveling in groups of 15 people or more, but are subject to space availability. These special blocks can only be requested through the International Group Housing department. Requests must be made by Friday, July 30, 2010.
