Senior Exhibit Sales Specialist

ASN's annual meeting, Kidney Week, is the world's premier nephrology meeting and the society's signature event, providing the kidney community and beyond with exciting and challenging opportunities to exchange knowledge, learn the latest scientific and medical advances, and listen to engaging and provocative discussions with leading experts in the field.

This position will manage the research, sales, and contracting process for new and returning exhibitors at ASN's annual meeting, Kidney Week. Responsibilities include working with ASN's Marketing and Communications team to create marketing materials, reviewing and executing contracts with exhibiting companies, managing the Kidney Week floorplan, communicating with exhibitors, managing the exhibitor contact database, managing onsite sales appointments at the in-person Kidney Week, collection of all payments and working with the financial operations team to process these producing reports, analyzing financial data, and actively bringing in new exhibiting companies. Previous sales experience is required.


Marketing and Sales:

  • Utilize telephone solicitation, electronic and written correspondence, social media, and marketing tools to sell booth space at ASN's annual meeting, Kidney Week, and reach ASN's target revenue for exhibit sales.
  • Collaborate with other strategic departments within the ASN Alliance to identify potential exhibitors whose presence at Kidney Week would further the ASN mission.
  • Research new prospects, maintain existing exhibitor relationships, and manage ASN's exhibitor contact database.
  • Collaborate with ASN's Marketing and Communications team to develop and implement an exposition marketing plan.
  • Manage the exhibit sales process using the exhibit software system, to include processing contracts and deposits, invoicing, following up on payments, and acknowledging receipt of payments.
  • Implement and manage new exhibit software system to manage the exhibit sales process.
  • Exhibitor Customer Service:

  • Field calls and emails from potential new exhibitors and maintain relationships with existing exhibitors.
  • Communicate contract and payment deadlines with exhibitors. Follow up with exhibitors who do not meet deadlines.
  • Work with the ASN Meetings team to develop and distribute newsletters at regular intervals.
  • Additional Responsibilities:

  • Collaborate with the other members of the ASN Meetings team to ensure the successful planning and implementation of the Kidney Week exposition, live and virtual formats.
  • Collaborate with the ASN Meetings team to manage and design the layout of ASN's exhibition floorplan. Work with exhibitors to determine their desired placement and recommend placement that is advantageous for the society and all exhibitors.
  • Create and analyze statistical and financial reports.
  • Provide support for other Kidney Week activities as needed.
  • Address internal and external inquiries regarding all assigned activities in a timely manner.
  • Work with the ASN Meetings team to set financial goals, create and implement budgets for future years.
  • Assume other duties and responsibilities that are appropriate to the position and area for other meetings and Kidney Week as needed.
  • Skills and Experience


  • Minimum Bachelor's degree and at least 5 years of exhibition or hotel sales or equivalent related experience.
  • Strong customer service and interpersonal skills, relationship building, strong organizational skills.
  • Proficiency in Microsoft (MS) Office products (Word, Excel, PowerPoint), proficiency in Adobe products, MS Outlook, event or membership databases.
  • Ability to rapidly learn and introduce new technology, experience with mobile applications and databases.
  • Proven success facilitating and managing excellent working relationships with co-workers and external partners.
  • Desired:

  • Experience working in association exhibit sales
  • Experience with medical and/or scientific association exhibits and meetings.
