The American Society of Nephrology (ASN)—which represents more than 21,000 physicians, researchers, nurses, and other health professionals dedicated to leading the fight against kidney diseases—seeks a full-time Associate to support its publications and Kidney Health Guidance Initiatives (KHG).

The Associate will support the editorial operations and social media channels for ASN's three peer-reviewed medical journals: Journal of the American Society of Nephrology (JASN), Clinical Journal of the American Society of Nephrology (CJASN), and Kidney360, as well as the society's newsmagazine, ASN Kidney News. Reporting to the ASN Associate Director of Publications, this individual will support the four managing editors, editorial teams, the rest of the publishing staff, and the Principal, Kidney Health Guidance (KHG), to ensure a standard of operation that will maintain the exemplary position of ASN publications in the field of nephrology.

Roles & Responsibilities

Publications and Editorial Support

  • Develop and maintain superb professional communication and exceptional customer service to editors, authors, reviewers, vendors, work group participants, and ASN staff.
  • Work closely with the Managing Editors and Associate Director of Publications to develop a working knowledge of editorial processes.
  • Learn and utilize the peer review management system (Editorial Manager) and Kidney News submission system (Kriyadocs), to check-in new submissions and revisions, in support of the Managing Editors' process.
  • Serve as primary back-up in Editorial Manager and Kriyadocs, when needed.
  • Oversee the ASN publication social media accounts on Twitter/X and Bluesky, including drafting posts, and work with ASN's Marketing Team to help promote the ASN publications, including Kidney Health Guidance, through additional social media channels.
  • Identify, recommend, and implement efficiencies to processes within Editorial Manager and Kriyadocs with guidance from Managing Editors and ASN Associate Director of Publications and support from Editorial Solutions Team and Kriyadocs.
  • Attend meetings as required: Council of Science Editors (CSE), Society for Scholarly Publishing (SSP) and/or International Society of Managing & Technical Editors (ISMTE), vendor meetings, and share advances in peer review and journal publication policies with colleagues.
  • Participate in ASN Publications meetings, staff meetings, and in-person meetings as required.

Kidney Health Guidance Support

Provide project management, publication and marketing support to Kidney Health Guidance including:

  • Assist with identifying subject matter experts in specific topic areas through outreach and maintain comprehensive, up-to-date contact information for expert networks and workgroup participants.
  • Manage the intake, collection, and tracking of author disclosure forms, copyright forms, and other required deliverables, ensuring timely and compliant submission throughout the publication process.
  • Track project workflows, milestones, action items, and stakeholder responsibilities throughout a project lifecycle.
  • Develop draft marketing, promotional, and communication materials for multiple channels in collaboration with the ASN Marketing Department.
  • Support publication marketing and dissemination activities, including website content, podcasts, visual abstracts, email communications, and social media.
  • Track and report publication and promotional metrics.
  • Participate in periodic virtual and in-person KHG stakeholder meetings.

Qualifications

  • Bachelor's degree required.
  • Proficiency with Microsoft Office, including Microsoft Outlook, and Adobe programs required.
  • Office experience required (internship experience accepted).
  • Excellent interpersonal, oral, and written communication skills.
  • Highly organized, analytical, and detail oriented.
  • Willingness and ability to seek direction and ask follow-up questions.
  • Ability to work in a fast-paced, small-team environment.
  • Flexibility to work both independently and collaboratively to prioritize tasks and meet multiple deadlines.
  • Approach tasks with an emphasis on efficiency, accuracy, and reliable execution.
  • Clear understanding of the importance of maintaining confidentiality.
  • Willingness to actively collaborate with ASN's Publications Team and other teams at ASN.
  • Occasional travel and weekend work may be required.

This position is based in Washington, DC, where we employ a hybrid work environment (currently 80 days per year in the office required).
